Contact Fields

Contact fields are the minimum units of information that make up the contact sheet. They allow us to identify, store and look up user data and use it in different types of strategy. In Connectif, you can create new contact fields as well as using the existing default fields.

 

How to access them

You can access the contact fields via this route "Contacts > Contact fields".

Interface

The main interface of the contact fields is made up of four blocks:

1. Creation: to create new contact fields.

2. Search: to search for contacts by name.

3. Filter: to view system fields, customized fields, or both.

4. List of fields: To view and edit contact fields and, in the case of customizable fields, to delete them. It also allows you to distinguish between the required fields and primary key.

How it works

Contact fields store the various data that makes up the contact sheet. When a user browses the website, Connectif automatically synchronizes some of the contact’s data with your ecommerce site.

There are two types of contact field:

  • Built-in fields, which are set by default.
  • Custom fields, which you can create to customize the data gathered in your Connectif account to suit your strategy.

The information logged in each of these fields has a type of data associated with it.

 

1. Types of data

The types of data tell Connectif which restrictions to apply, which values it can take and which operations can be carried out on the data of a particular field.

The different types of existing data on the platform are:

Type Can contain Required Example
Text Any type of character that forms one or more words. Optional To save the contact’s location:
"Salamanca", "Córdoba", etc.
Email Valid email address including an account name, at sign (@) and full domain (".com", ".es", etc.) Optional To save an alternative email address for the contact:
"alternativemail@domain.com".
Phone With or without prefix and should be indicated without spaces in both case.
If no prefix is defined, the international prefix configured in your account will be used.
Never To save the contact’s telephone number:
"651234567", "+34651234567".
Integer Any numerical value without decimal places. Optional To save the number of days since the contact’s last purchase:
"36", "0", "122", etc.
Decimal Any numerical value with decimal places. Optional To save the average value of a contact’s purchases:
"35,56", "87,32".
Date A date in the ISO 8601 format:
yyyy-mm-dd (year-month-day)
Optional To save a contact’s date of birth:
"1978-08-25".
Checkbox A series of options from which one or more can be chosen. Always To save a contact’s interests:
"Sport", "Travel", etc.
Radio A series of options from which only one can be chosen. Optional To save the contact’s preferred language:
"Spanish", "English", etc.
Boolean Two exclusive values: true or false. Always To save the type of client::
"Individual" o "Company".
 

You can look up the default prefix in "Your Connectif account > Settings".

Remember that the type of data gathered in a workflow or externally (for example, via an integrated form) must have the same format as the contact field where this data will be stored.

 

2. System fields

By default, contact sheets in Connectif include 23 system fields required to store essential user data and carry out the basic functions of the platform.

  

System fields cannot be deleted and only some of them can be edited.

The system fields established in Connectif are as follows:

System field name Type of data Saved value
Surname Text A contact’s last name.
Quantity of soft bounces Integer The number of temporary bounce-backs to a contact.
Compras totales Integer Number of purchases made by a contact.
Email Email A user’s email address.
This field is also primary key in Connectif, i.e. there cannot be two contacts with the same email address.
Email unknown Boolean Indicates if the contact’s email address is known or not.
Email status Radio Indicates if an email address is active, blocked or paused, or has bounced.
For a contact to receive transactional emails, their email status must be active.
On the other hand, for a contact to receive newsletter-type emails, their email status must be active and they must also be subscribed to the newsletter.
SMS Subscription Status Radio Indicates if a contact is subscribed, not subscribed or unsubscribed from SMS messages.
Newsletter subscription status Radio Indicates if a contact is subscribed, not subscribed or unsubscribed from the newsletter.
Mobile Phone Status Radio Indicates if a contact’s telephone number is active, paused or has bounced.
Creation date Date Date of contact’s first visit to your website.
Birthdate Date Contact’s date of birth.
Updated date Date Date of the most recent edit to a contact sheet.
Last unsubscribed date Date

Date of last logged unsubscription by a contact.

Last Purchase Date Date Date of contact’s last purchase.
First Purchase Date Date Date of contact’s first purchase.
Last bounced date Date Date of the last bounce-back from a contact.
Last soft bounce date Date Date of contact’s most recent temporary bounce-back
Average Purchases Amount Decimal Average value of purchases.
Total Purchases Amount Decimal Sum of all purchases made.
Last unsubscribed IP Text IP address from which a contact’s most recent unsubscription was registered.
Name Text A contact’s first name.
Points Integer Points accumulated by a contact.
Bounced reason Text Reason for bounce from a contact.
Mobile Phone Phone Contact’s mobile telephone number
Has push subscriptions Boolean

Indicates if a contact is subscribed to push notifications or not.

Tracker Text Unique identifier for a contact, whether identified or anonymous, in your Connectif database.

 

The "Email" system field is a primary key, meaning that it is the field by which a single identified contact can be differentiated from the rest of the identified contacts.

Contacts that don’t have an email address stored (anonymous contacts) are distinguished by "trackerId", a unique identifier that Connectif assigns to each contact.

3. Personalized fields

You can create your own contact fields with different types of data to use in your strategy, whether by creating new workflows that gather this information or by importing data you’ve gathered externally.

4. Uses of contact fields

4.1. View the settings of a contact field

  

This option excludes system fields that cannot be edited.

Go to "Contacts > Contact fields", find the field in question and click  View.

The field settings include the following data:

  • "Type"
  • "Name"
  • "Id"
  • (Opcional) "Default Value"

Depending on the type of data, settings can also include other options.

Click  Cancel to close the contact field settings view.

 

4.2. Create a new customized contact field

Go to "Contacts > Contact fields" and click  Add new customized field.

Assign the appropriate "Type" to the data that the field will gather and check the box "Required" if the field is compulsory.

 

It’s important to define a default value in required fields to avoid consistency errors in the database rules.

Set a "Name" and an "Id", the unique identifier that will distinguish the customized field.

 

The field identifier cannot include spaces and can only include letters, numbers and the hyphen (-) or underscore (_) symbols.

You can optionally change the "Field icon", assign the "Default value" and define other restrictions, depending on the type of data chosen.

Click  Save to create the new customized contact field.

 

When creating a new required field, Connectif will assign the set default value to all your contacts. Depending on the size of your database, this process may take a few seconds to be reflected on the platform.

 

4.3. Editing the settings of a contact field

  

When a field is create, it is generally only possible to edit its name. You cannot edit reserved system fields, only view their settings.

However, when editing contact fields with "Checkbox" and "Radio" data types, it is possible to add new values and, in the case of "Radio", type, reassign their "Default value".

Go to "Contacts > Contact fields", find the field in question and click  Edit.

Change the "Name" of the contact field.

Click   Save to save the changes to the field name or  Cancel to discard the changes and exit edit mode.

 

4.4. Delete a customized contact field

Go to "Contacts > Contact fields", find the field in question and click  Delete.

In the pop-up window, click  Delete to confirm the action.

A customized contact field cannot be deleted if it is being used in a workflow or dynamic segment.

 

5. Limitations in contact fields.

  • You can create a maximum of 140 customized contact fields.
  • "Radio" and "Checkbox" identifiers can have a maximum of 150 characters.
  • The maximum number of options in "Radio" and "Checkbox" fields is 120.
